# Generating & Finalizing Reports

> Use the Report Builder to generate AI summaries, review report content, and finalize your inspection reports.

The **Report Builder** helps you turn your completed inspection findings into professional reports.

You can generate AI-assisted summaries, review and edit report content, preview your documents, and finalize your reports before sending them to clients.

## Open the Report Builder

1. Select **Inspections** from the main navigation.
2. Open the inspection you want to prepare a report for.
3. Select **Generate Report** to open the Report Builder.

Before proceeding, make sure your inspection findings and area overviews have been reviewed.

## Understanding the Report Builder

The Report Builder includes several sections for preparing your report.

| Section | Description |
| - | - |
| **Report Title** | The title displayed on your inspection report. |
| **Executive Summary** | An overall summary of the inspection. |
| **Safety Concerns** | Highlights important safety-related findings. |
| **Major Concerns** | Highlights significant defects or concerns. |
| **Maintenance Recommendations** | Provides general maintenance guidance based on the inspection. |

These sections help organize the information presented to your client.

## Generate an AI Summary

InspectIQ can prepare suggested report summaries using your documented inspection findings.

1. Open the **Report Builder**.
2. Select **Generate AI Summary**.
3. Review the generated content in the available summary sections.
4. Make any necessary changes before proceeding.

> [!TIP]
>
> Review and approve your inspection findings before generating the AI summary. This helps ensure the summary reflects your completed inspection observations.

## Review and Edit Report Content

Each report section should accurately reflect the conditions observed during the inspection.

Review the following:

### Report Title

Confirm the report title accurately identifies the inspection.

### Executive Summary

Review the overall summary of the property and the inspection's key observations.

Make sure it reflects the inspection without introducing unsupported conclusions.

### Safety Concerns

Review any safety-related conditions identified during the inspection.

Confirm that the wording reflects the documented findings and their assigned severity.

### Major Concerns

Check that significant inspection findings are accurately summarized.

These should correspond with the relevant findings documented during the inspection.

### Maintenance Recommendations

Review the suggested maintenance guidance for accuracy and relevance.

Ensure recommendations are appropriate for the inspected property.

> [!WARNING]
>
> AI-generated summaries are suggestions. Always verify the content against your actual inspection observations and approved findings before finalizing the report.

## Save Your Report

After reviewing the report content:

1. Make any necessary edits.
2. Select **Save Report**.

Saving preserves your report content so you can continue reviewing or updating it.

> [!NOTE]
>
> Saving report content is separate from finalizing the report.

## Preview Your Reports

Before finalizing, review the generated documents.

1. Select **Preview Report**.
2. Choose **Summary Report** or **Full Report**.
3. Review the information displayed.
4. Return to the Report Builder if changes are needed.

### Summary Report

Review the important findings, including safety concerns, major concerns, and maintenance recommendations.

### Full Inspection Report

Review the detailed inspection content, including area overviews, findings, supporting photographs, and recommendations.

> [!TIP]
>
> Preview both report types. The Summary Report provides a condensed overview, while the Full Report contains the more detailed inspection information.

## Finalize Your Report

When you're satisfied with the report content:

1. Review the Report Builder sections.
2. Confirm that your inspection findings are accurate and complete.
3. Save any outstanding changes.
4. Select **Finalize Report**.
5. Follow the available finalization prompts.

Finalization prepares the report for the next stage of the reporting workflow.

## Regenerate Reports After Changes

If you update inspection information after generating report documents, use **Regenerate Reports** to rebuild them.

This is useful when you've changed:

* Inspection findings or recommendations.
* Area / Room Overviews.
* Supporting photographs.
* The report cover image.
* Other inspection information included in the reports.

### Regenerate Your Reports

1. Open the applicable report preview.
2. Select **Regenerate Reports**.
3. Allow InspectIQ to rebuild the Summary and Full Reports.
4. Review the updated documents.

> [!NOTE]
>
> Regeneration rebuilds the report documents using the latest available inspection information. Always review the regenerated versions before delivering them.

## Download Your Reports

You can download the generated report documents for review or your records.

Available options include:

* **Download Summary** — Downloads the Summary Report.
* **Download Full** — Downloads the Full Inspection Report.

You can also use **Download PDF** within the report preview.

## What Happens Next?

Once your reports are finalized, you can manage their delivery from the **Reports** page.

From there, you can:

* Review the report's status.
* Check any applicable payment requirements.
* Preview the final report documents.
* Send the Summary Report, Full Report, or both to your client.
* Access previously sent reports.

> [!TIP]
>
> Complete your inspection review before finalizing reports to minimize the need for later changes and regeneration.
