# How to Schedule and Manage Inspections in InspectIQ

> Set a date and time for your inspection, assign it to a team member, manage your calendar view, and configure client notification settings.

Once a work order is created, the next step is locking in a date and time for the inspection. InspectIQ's scheduling tools let you pick a time slot, assign the job to a specific inspector on your team, and automatically notify your client — all without leaving the work order. You can also reschedule or cancel jobs as plans change, keeping your calendar and your clients up to date.

## Schedule an Inspection

**1. Open the work order and tap 'Schedule'**

From your dashboard, open the relevant work order. If it's still in **Draft** status, tap the **Schedule** button. If you're returning to an already-saved draft, tap **Edit** and then navigate to the **Scheduling** section.

**2. Select a date and time**

Use the date picker to choose an inspection date, then select a start time from the time picker. InspectIQ will automatically calculate and display an estimated end time based on the inspection type's default duration. You can adjust the duration manually if you expect the job to run longer.

**3. Assign to a team member**

If you manage a team of inspectors, use the **Assign To** dropdown to select the inspector responsible for this job. Only team members with an active InspectIQ account will appear in the list. If you operate solo, this field defaults to your own account and can be left as is.

**4. Configure client notifications**

Choose whether to send your client an automated **confirmation email**, an **SMS**, or both. You can preview the message before it goes out and customise the content in **Business Settings > Notification Templates** if you'd like to personalise the wording. Notifications are sent immediately when you confirm the schedule.

**5. Save the schedule**

Tap **Confirm Schedule** to save. The work order status updates to **Scheduled** and the job appears on your InspectIQ calendar.

## Calendar View

The InspectIQ calendar gives you a visual overview of all your scheduled jobs. Switch between **Day**, **Week**, and **Month** views using the tabs at the top of the calendar screen. Each job block shows the property address, inspection type, and assigned inspector at a glance. Tap any job block to open the full work order.

> [!NOTE]
>
> You can sync your InspectIQ calendar with Google Calendar or Apple Calendar. Go to **Settings > Calendar Sync**, connect your preferred calendar service, and all scheduled inspections will appear as events in your external calendar automatically.

## Reschedule or Cancel an Inspection

Life happens — clients need to move their appointment, or you need to shuffle your day around. To reschedule, open the work order, tap **Edit Schedule**, select a new date and time, and tap **Confirm**. InspectIQ will send your client an updated confirmation notification automatically.

To cancel a job, open the work order and tap **Cancel Inspection**. You'll be prompted to add a cancellation reason (optional) and choose whether to notify the client. The work order moves to a **Cancelled** status and is removed from the active calendar view but remains in your records for future reference.

> [!TIP]
>
> When booking back-to-back inspections, factor in travel time between properties. Use the **Notes** field on each work order to log the property access details ahead of time, so you can move between jobs quickly without hunting through messages on the day.
