Running your first inspection with InspectIQ is exciting — and a lot faster than you might expect. This walkthrough covers every stage of the process in the order you’ll encounter it: setting up the job, doing the inspection on-site, letting AI do the heavy lifting on the write-up, and sending the report. By the end of your first job, the workflow will feel completely natural. Let’s get into it.

End-to-End Inspection Walkthrough

1

Create a Work Order

Start every job by creating a work order. This is your central record for the inspection — it holds the property address, client details, inspection type, scheduled date and triggers the workflows of Payment and getting signatures on Inspection Agreements.
  1. From the web dashboard or mobile app, tap or click New Work Order.
  2. Enter the Property Address, Client Name, Client Email, and Client Phone Number.
  3. Select the Inspection Type (for example, General Inspection, Condo, Pre-Purchase Building Inspection, etc).
  4. Add any Ancillary Services to the inspection such as Septic Tank or WETT inspection as required.
  5. The Client/Homebuyer is an integral piece as this is who the inspection is for and where the report gets delivered.
  6. Click Create Work Order to save it.
The MLS# or Address lookup options will pull listings on Realtor.ca and fill in the property details for you!
For a full overview of work orders and how to manage them, see the Work Orders guide.
2

Schedule the Inspection

With the work order open, you can send your availability to the client to pick a date & time, OR you can Choose a date & time yourself if it was already agreed upon.
  1. Tap Schedule and choose the date and time from the calendar picker.
3

Send the Inspection Agreement

The next step is Generate & Send the Inspection Agreement to your client for signature. Before you arrive on-site, send your client the inspection agreement for e-signature.
  1. Inside the work order, tap Generate Agreement.
  2. You can Preview the Agreement prior to emailing it to your client by clicking “Preview Agreement”.
  3. Tap Send Agreement — the client receives an email with a secure link to read and sign the agreement electronically.
  4. You as well will have ability to Countersign the Agreement as the Inspector.
  5. You’ll receive a notification once they’ve signed, and a copy is automatically saved to the work order.
  6. Once signed, a Draft Inspection is automatically created.
You can customise your agreement templates under Settings → Templates & Agreements. Add your standard terms and conditions, limitation of liability clauses, and any state-specific disclosures once, and they’ll be ready for every job.
4

Run the Inspection On-Site

Head to the property and open the inspection on your mobile app.
  1. You can add a Cover Photo immediately which is what shows up on the first page of your Reports.
  2. Work through each section of the checklist (Roof, Exterior, Interior, etc.) and add your Photo’s, Voice Notes, Defects etc.
  3. Each Area/Room gives you the ability to record a high level Overview first with accompanying photo if you wish.
  4. The Capture Finding button is typically where you will add photos and voice notes for all defects or general observations.
  5. Once you’ve added your Finding (i.e. water moisture) either via just a Photo and/or a Voice Note, click the Generate AI Finding button and let the magic happen.
InspectIQ supports offline mode — if the property has no Wi-Fi or mobile signal, keep inspecting as normal. All your data is saved locally on your device and syncs automatically to the cloud as soon as you regain a connection.

Capture Photos and Document Findings

Photos are the backbone of a credible inspection report. InspectIQ makes it easy to attach photos directly to each finding as you work through the property.
  1. Tap the camera icon next to any checklist item to take a photo or choose one from your library.
  2. Annotate the photo with arrows or highlight circles if you want to draw the client’s attention to a specific area.
  3. Add a caption that describes what the photo shows — or leave it blank and let the AI suggest one.
Aim for two to three clear photos per defect: one wide shot showing context, and one or two close-ups showing the detail. This gives clients a clear picture without overwhelming them.
6

Use AI to Write the Report

Once you’ve completed the full on-site inspection, InspectIQ’s AI takes your notes and defect descriptions and drafts the full written report for you.
  1. Scroll to the bottom and tap Generate Report from the inspection summary screen.
  2. Then click the Generate AI Summary button - the AI produces a complete draft, including written descriptions for every defect, a summary section, and recommended actions — within seconds.
  3. Review each section. Edit any wording that doesn’t match your preferred style or that needs more specific detail for this particular property.
  4. Preview or Finalize the Report.
The more detail you add to your on-site notes and defect descriptions, the better the AI output. A quick voice note like “cracked ridge capping, approximately 1.5 metres, allow water ingress” gives the AI much more to work with than just “roof defect”.
7

Complete and Deliver the Report

With your report reviewed and approved, it’s time to deliver it to your client.
  1. Click Finalize Report to lock the report and generate the branded PDF.
  2. Navigate to **Reports, find and click on your property. **
  3. **This full **Preview of the Summary and Full Report will show you exactly what your client will see. Also useful to confirm the layout, photos, and content look exactly right.
  4. Should you require any changes, go back to your Inspection and add any missing photo’s or notes as needed.  Come back to your Reports and you can Regenerate Reports to capture the latest changes.
  5. Back to your Reports screen, here you will have ability to:
    1. Send a Payment Reminder if they haven’t sent payment yet
    2. Preview the Reports again
    3. Send Report
  6. Click Send Report. InspectIQ emails the client a secure link to view and download their report. You can also download the PDF yourself and send it any way you prefer.
  7. The work order is automatically marked as Complete and archived in your dashboard.
If your client needs the report urgently, or prior to payment, you can WAIVE the payment or flag it as PAID in the Work Order.
